Dashboard
Your dashboard is the first page you see after you sign in. It shows short summary cards — what still needs to be set up, what is waiting for you today, and how your hours and orders are doing — so you can see at a glance what needs your attention and jump straight to the right page.
Which cards you see is different for every person. It depends on the applications your consumer (your organization) has subscribed to, on your role, and on the permissions your administrator has given you. If a card is missing, see I don't see a card I expected.
Permissions
| Card | Who sees it |
|---|---|
| Add Funds | People allowed to add funds, when the account balance is 0 or below |
| Subscribe to Application | People allowed to manage subscriptions, while the consumer has neither QBar nor Project Efforts |
| Create a Service Area, Define Vat Rates, Create a Menu | People allowed to set up that item in QBar, until the first one exists |
| Today's Reservations, Pending Orders, Pending Service calls | People allowed to view reservations, orders or service calls in QBar |
| Order graph | People allowed to view orders and service areas in QBar |
| Warnings | People who have been chosen to receive ordering warnings, when warnings are switched on for your consumer |
| Work Hours, Work Hours Status | Employees (people who have an employee record in the consumer) |
| Pending — Approvals | Project managers, or anyone allowed to approve workhours |
| Pending — Charges | Anyone allowed to manage charge invoices |
| Create a new Consumer | People who do not belong to any consumer yet |
For administrators: to decide who sees which card, assign permissions under Administration → Authorization → User Permissions. Look for these names:
- Application Framework: Create payments, Create subscriptions, Create consumer vat rates, Receive warning when ordering is deactivated
- QBar: Read reservations, Read orders, Read service calls, Read service areas, Create service areas, Create menu
- Project Efforts: Approve workhours, Manage charge invoices
The Work Hours cards need no permission — they appear for every person who has an employee record, as long as your consumer has Project Efforts.
Every card has a go to page link, and its round icon is a link too. Both open the page where you can act on what the card shows.
Next steps
These cards point out the set-up steps your consumer has not done yet. A card disappears as soon as its step is done (it is gone the next time you open the dashboard).
Add funds
The Add Funds card appears when your account balance is 0 or below.
- On the dashboard, find the Add Funds card.
- Click go to page (or the coin icon).
- Follow the steps in Add Funds to top up your account.
Once your balance is above 0, the card no longer appears.
Subscribe to an application
The Subscribe to Application card appears while your consumer has not subscribed to QBar or Project Efforts.
- On the dashboard, find the Subscribe to Application card.
- Click go to page (or the rocket icon). The Manage Subscriptions page opens.
- Choose an application and follow the steps in Manage Subscriptions.
Set up QBar
If your consumer uses QBar, up to three set-up cards appear. Each one stays until the first item exists.
- Create a Service Area — click go to page and create your service areas and seat groups.
- Define Vat Rates — click Vat Rates and add the VAT rates your menu needs (see Vat Rates). Click QBar Settings to open the QBar settings.
- Create a Menu — click go to page and create a menu for your service areas.
QBar cards
Three cards count what is waiting right now. They share the same buttons.
| Card | What the number means |
|---|---|
| Today's Reservations | Reservations booked for today |
| Pending Orders | Orders that have been placed and are still waiting to be handled |
| Pending Service calls | Calls from guests that nobody has answered yet |
See the numbers per service area
- On the dashboard, read the big number on the card. It is the total across your service areas.
- Click view all to list the number for each service area, one line per service area.
- Click hide all to fold the list away again.
- Click go to page (or the card's icon) to open the full list and deal with the items.
The numbers appear a moment after the page opens. If a number stays at 0 and an error message pops up, see A card shows 0 or a dash.
Order graph
The order graph shows how many orders were completed for one service area. Each point is a day (or a month, depending on the graph type) that had at least one completed order.
- Under Select graph type, choose Last 30 days (one point per day) or Last year (from today) (one point per month).
- Under Select service area, choose the service area you want to look at. The first one is selected by default.
- Hover over a point on the line to see the exact number of orders.
If there are no completed orders in the chosen period, the graph shows empty axes with no line.
Project Efforts cards
These cards summarize your own hours and — if you manage projects — the entries waiting for you. For the full details, see Workhours.
Work Hours
The Work Hours card shows the hours you logged this week, this month and this year on the line labeled current, and the hours of the previous week, month and year on the line labeled last. A week runs from Monday to Sunday.
You do not need to do anything here. Click go to page to open Workhours and add or review entries.
Work Hours Status
The Work Hours Status card tells you what is still open on your own entries:
- Unsigned — entries you have not signed yet. Sign them so that they can be approved.
- Unapproved — entries you have signed that are waiting for approval.
To sign your open entries:
- On the dashboard, check the Unsigned number on the Work Hours Status card.
- Click go to page. Workhours opens.
- Sign your entries as described in Signing an entry.
Pending
The Pending card is for project managers and for people with the matching permissions. It shows up to two numbers:
- Approvals — hours that team members have signed and that are waiting for approval, in the projects you manage.
- Charges — hours that have been approved but not yet charged, in the projects you manage.
To approve waiting hours:
- On the dashboard, check the Approvals number on the Pending card.
- Click go to page. Workhours opens.
- Approve the entries as described in Approving an entry.
Warnings
When warnings are switched on for your consumer, a Warnings card lists things that need attention. At the moment it tells you when ordering has been switched off for a service area, for example Ordering functionality is deactivated for 'Beach Bar'. The card only appears while there is at least one warning.
If you don't belong to a consumer yet
If you are not a member of any consumer, the dashboard shows a Create a new Consumer card instead. Click CREATE NEW CONSUMER to start. See My Profile for background.
If your account is deactivated
If an administrator has deactivated your account in the current consumer, the dashboard shows only a short message and none of the cards. If you also belong to another consumer, select its name in the drop-down list at the top right to switch to it. Otherwise ask your administrator to reactivate you.
Troubleshooting
I don't see a card I expected
The cards depend on three things: the applications your consumer has subscribed to, your role (for example project manager), and the permissions you have been given. Check the table in Permissions and ask your administrator to review your permissions under Administration → Authorization → User Permissions. Also check My Account → Manage Subscriptions to confirm that the application is subscribed and that its period has not ended.
A card shows 0 or a dash
The numbers load a moment after the page opens. Wait a few seconds. If the number does not change and a red Error message appeared, reload the page. If the error comes back, contact support (see below).
The Pending card shows 0 Approvals, but I know hours are waiting
The Approvals number counts only the hours in projects where you are a project manager. Open Project Efforts → Workhours to see everything you are allowed to approve.
The Add Funds card has disappeared
That is expected: the card is only shown while your balance is 0 or below. You can still add funds at any time under My Account → Add Funds.
The order graph is empty
There are no completed orders for the selected service area in the selected period. Try the other graph type or another service area.
Getting help
If a card shows something that looks wrong, contact **support@xcs.app** with:
- The name of the card and what it shows
- What you expected to see
- The date and time you noticed it
